Position 1: HR & Admin Coordinator

Number of Vacancies: 1 (Full time)

Role Overview

As the HR & Admin Coordinator, you will play a crucial role in managing human resources and administrative activities to ensure the smooth operation of our organization. This position requires a dynamic, motivated team player with exceptional organizational skills and a passion for making a difference.

Key Responsibilities

  1. Human Resources Responsibilities
  • Oversee all HR-related activities within the organization.
  • Develop and organize capacity-building and professional development programs for staff.
  • Maintain confidential employee records in both hard and digital formats.
  • Manage the recruitment process, including candidate identification, reference checks, and issuing employment contracts.
  • Conduct orientations and update records for new staff members.
  • Implement performance management procedures.
  • Schedule meetings, interviews, and HR events.
  • Prepare and submit reports on general HR activities.
  • Assist with payroll and ad-hoc HR tasks.
  • Stay updated with the latest HR trends and best practices.
  • Handle other responsibilities as needed.
  1. Administrative Responsibilities
  • Manage organizational documents, reports, and files.
  • Create and execute schedules, manage budgets, and maintain organized records.
  • Organize and facilitate monthly, quarterly, and annual project reviews.
  • Update institutional policies and codes of conduct.
  • Maintain asset and inventory records.
  • Anticipate needed supplies and manage orders.
  • Coordinate meetings, conferences, and events.
  • Oversee expenditure management.
  • Perform general administrative tasks.
  • Coordinate logistics and networking activities.
  • Handle other responsibilities as needed.
  • Travel to outstation offices and meetings as required.

Work Environment

  • Office-Based, Thrissur, Kerala
  • Some travel required for meetings and coordination of outstation offices.

Organizational Reporting

  • Reporting to CEO

Skills and Competencies

  • Sound knowledge administrative work.
  • Strong understanding of labor laws and employment equity regulations.
  • Effective HR administration and people management skills.
  • Experience with payroll practices.
  • Comprehensive knowledge of HR functions and best practices.
  • Excellent written and verbal communication skills in Malayalam, English, and Hindi.
  • Ability to work well under pressure and meet tight deadlines.

Qualifications and Experience

  • Post-graduate degree in any field.
  • Proven experience as an HR & Admin Coordinator in the NGO sector.
  • Highly proficient in email, MS Office Suite, and other business communication tools.

 

Position 2: Project Officer

Number of Vacancies: 2(Full time)

Role Overview

Join our team as a Project Officer and play an essential role in implementing and coordinating our impactful projects. This position requires an enthusiastic and motivated individual who excels in teamwork and possesses strong leadership skills. You will be responsible for assisting in project implementation, organizing events, liaising with stakeholders, and maintaining regular contact with beneficiaries.

Key Responsibilities

  1. Project Implementation and Coordination
  • Assist in the execution of project activities.
  • Coordinate and organize events and activities.
  • Network with stakeholders and beneficiaries related to activities and events.
  • Maintain frequent contact with beneficiaries.
  • Perform organizational tasks as assigned.
  1. Documentation and Research Support
  • Conduct primary and secondary data collection.
  • Assist in awareness creation and information dissemination.
  • Support documentation and provide research/technical assistance.
  • Help in developing project proposals.
  • Monitor and document field-level activities.

 Work Environment

  • Office and Field-Based in Kerala, preferably Thrissur. Ability to travel is required.
  • Registered Office: Thrissur.

Organizational Reporting

  • Reporting to Programme Coordinator.
  • Overseeing Field Officer and Field Organizers/Researchers (Subject to Project).

Skills and Competencies

  1. Leadership and People Skills
  • Ability to build and maintain strong relationships with beneficiaries, providing guidance and mentoring.
  • Proficient in networking with external working groups.

2.Communication

  • Proficient in English, Hindi, and Malayalam (Reading, Writing, Speaking).
  • Capable of conducting field research and developing reports.
  • Knowledgeable in primary and secondary data collection methods.
  • Skilled in making presentations and delivering lectures.

3.Client-Facing Skills and Consultancy

  • Expertise in research project management and execution in the field.

4.Technical and Research Skills

    • In-depth knowledge of pesticide use, health and environmental effects, risk management and mitigation, agroecology, climate change, food safety, sustainable agriculture, and GM crops.
    • Proficient in IT skills, including MS Word, PowerPoint, spreadsheets, and other communication apps/software.

Qualifications and Experience

  • Post-graduation or graduation, preferably in Agriculture, Social Work, Environmental Science, or Life Science.
  • Two years of experience in the NGO sector preferred.
